Within the Dean's Office, the successful candidate will join the Sustainability Department, reporting to the Department Coordinator and working closely with the Department Coordination Officer, who oversees the distribution of activities.
The Sustainability Department brings together faculty members across several campuses. The person in this role ensures the smooth administrative management of courses delivered on the Paris campus by coordinating course planning, monitoring teaching activities and providing logistical support to faculty members.
- Coordinate the administrative and logistical organization of courses in collaboration with faculty members (course scheduling, document preparation, room bookings, student group creation, etc.) and the administrative teams of the Grande École Programme (Pre-Master, Master 1 and Master 2).
- Welcome adjunct faculty members and provide support at the start of their courses, or direct them to the audiovisual support team when necessary.
- Manage online course administration through the Blackboard learning platform, including supporting faculty in uploading teaching materials and creating examinations.
- Retrieve administrative documents from Aurion (attendance sheets, class lists, student records) and enter grades into the system.
- Act as the daily point of contact between faculty members (permanent, affiliated and adjunct professors, guest speakers) and internal departments (academic administration, facilities, IT support, etc.).
- Manage the department's day-to-day administrative activities (office supplies, access badges, meeting organization and other logistical requirements).
- Participate in department meetings across campuses and prepare meeting minutes in English when required.
- Provide students with information regarding course offerings and examination procedures.
Additional Responsibilities
- Welcome students during exam paper review sessions.
- Update course syllabi on the dedicated platform.
- Provide logistical support and liaise with stakeholders for seminars and conferences.
Profile required
- You have a college degree (minimum two years of post-secondary education) and have some professional experience, preferably in the education sector, ideally in an international setting.
- You are available (presence required when classes begin), organized, service-oriented, a team player with a sense of initiative, able to adapt to a demanding and diverse audience, and possess excellent interpersonal skills. In the event of unforeseen circumstances, you know how to handle the situation to ensure service continuity.
- Operational proficiency in English is essential, both written and spoken.
- You are fully proficient in office software (Word, Excel, PowerPoint, databases) and are able to adapt to new tools.
